What This Does

Google Docs has a built-in "Help me write" AI feature that drafts destination descriptions, hotel narratives, and itinerary text directly inside your document — without copying and pasting between tools. Useful for advisors who build trip proposals in Google Docs before loading them into Travefy or sending directly to clients.

Before You Start

  • You have a Google account and Google Docs open
  • Basic "Help me write" is available free; Gemini Advanced features require a Google Workspace or Gemini subscription
  • You have the structure of your trip proposal ready (destinations, dates, hotels selected)

Steps

1. Open your trip proposal document

Create a new Google Doc or open your trip proposal template. Have your itinerary structure laid out as headings (Day 1: Arrival in Rome, Day 2: Vatican and Colosseum, etc.).

2. Find "Help me write"

Click where you want to add a description. Look for the pencil/sparkle icon that appears in the left margin — click it. Or go to Insert → Help me write from the top menu. A blue prompt box appears.

3. Generate destination or hotel descriptions

Type a specific request in the prompt box:

"Write a 75-word description of a first day in Rome for a travel proposal — arriving in the evening, checking into a boutique hotel near the Pantheon, walking the historic streets, first dinner in Trastevere. Tone: evocative and exciting."

Press Enter to generate. The text appears as a preview below your cursor.

4. Insert and refine

Click Insert to add it to your document. Select specific sentences and click the sparkle again to "Refine" with instructions like "Make this more luxurious in tone" or "Shorten this to 50 words."

Repeat for each day or section of the itinerary.

Real Example

Scenario: You're writing a 7-day Tuscany proposal for a couple celebrating their 25th anniversary. You need to write descriptions for 4 different locations: Florence, Siena, the Chianti wine region, and a final evening in San Gimignano.

What you type (for the Chianti section): "Write a 100-word description of spending a day in the Chianti wine region for an anniversary trip proposal. Include: scenic vineyard drives, a private winery lunch, and the romance of the Tuscan countryside. Tone: romantic and celebratory."

What you get: A polished, evocative description ready to drop into the proposal. Repeat for each location — the whole proposal narrative takes 20 minutes instead of 90.

Tips

  • For consistency, set a word count target at the start ("75-word descriptions for each section") — your proposal reads more professionally with consistent-length entries.
  • "Help me write" works best section by section; asking it to write an entire 7-day itinerary at once produces generic output.
  • If Gemini Advanced is available on your account, try "Help me write based on this outline" — paste your bullet-point itinerary and it drafts the full narrative in one pass.

Tool interfaces change — if a button has moved, look for similar AI/magic/smart options in the same menu area.
